KWMLA Release Policy

A letter is to be sent to the President of the KWMLA, outlining the request for release and the reason why you, “the applicant” feel it should be granted. 

Also, the applicant is required to complete section one (Parent/Guardian/Player) on the Ontario Lacrosse Association’s (OLA) Release Request Form – Box and/or Field and submit the form to the KWMLA along with a $50.00 cash player release fee per release, this fee is non-refundable. 

Any requests will not be accepted prior to February 15th, 2024 of the said year or as outlined by the OLA in that playing year. A request for a player release will only be accepted once the player is registered with KWMLA for the current season, including paying all dues and fees, including the $50.00 cash player release fee.  There will also be a non-refundable OLA registration fee required at the time of registration.  

Once received you will be notified within 72 hours of receipt of the request, and you will be notified within 10 days of the hearing date as per OLA policy.

Reminders from the OLA

  • Ontario Lacrosse’s philosophy is now, as it has always been, ‘kids play where they live”.
  • Release Requests may only be submitted by current OLA members, meaning they must be registered with their resident club  for the 2024 season (MR3.01)
    • Should a club receive a request from a player/family who has not registered they need to advise them to register, that is all
  • The form they submit MUST be the current year version (when available from the OLA)
    • Should a club receive a request from a player/family who has not used this form, the association will  supply them the link and request they resubmit
  • Only fully completed forms will be processed
    • Should your club receive a partially completed form please advise the applicant to complete it fully.
  • Only the information included on the form will be considered during the hearing or any subsequent appeals.
  • In Minor lacrosse, there is no such thing as “trying out” for any centre other than your own centre.
  • Please make sure that your associations comply with the timelines involved in acknowledging a Release Request, and do so by email (72hrs from time of receipt -trackable)
  • Hearings must be held.  To deny (or approve) a Release Request without a hearing means the association did not follow procedures
  • Hearings must be held within a “reasonable” period of time.  When Club A chooses to hearings does not need to be based on when Club B has “tryouts”
  • As per this form, written decisions must be forwarded to ALL attendees by the hearing chairperson(within 5 business days -trackable)
  • Associations may decide if hearings are held in person, or based on distance or other concerns by Zoom.  In the case of in-person hearings, all attendees are known, and the same policy must be in place for Zoom, therefor all cameras must remain on for the entirety of the hearing.
  • Only one release per sector per season may be granted

Refund Policy

A full refund (-$50.00 administration fee ) will be issued upon written request up to March 15, 2024.

Upon registering there is a $54 non-refundable OLA registration fee.  This is collected by the OLA at the time of registration.

A 50% refund will be issued upon written request until April 15, 2024.

NO refunds will be issued after April 15, 2024.

Fall Field Registrations - A full refund (-$50.00 administration fee) will be issued upon written request up to Sept 5, 2024

MEDICAL REFUND POLICY

A full or pro-rated (if the season has started) refund will be issued upon written request when accompanied by a medical doctor's note minus the administration fee.

Refunds will not be given after the season is over. Refunds may take up to 180 days to process.

ALL REQUESTS MUST BE IN WRITING.

KWMLA JUNIOR AP POLICY

The Junior Teams affiliated with KW Minor Lacrosse by residency may call up minor players on a game by game basis.  The following policies apply to this process.

  1. Permission (email) must be obtained in writing from the Head Coach (box & field if applicable).
  2. The President must be copied when permission is granted.
  3. The player’s first obligation is always to the team for which he is registered.

This policy will give all players the opportunity to gain experience in the skills required to transition to the appropriate level of Junior lacrosse while protecting the rights of the team where they are currently registered. It also protects the rights of the players who are currently registered on the Junior teams.

There can be no exceptions to this policy except by Board approval.

 


Rep Tryout Philosophy

Any player whose intent to play representative lacrosse in the current season shall try out for the first team for KWMLA in their respective age group.  Once released from first team, the intent of the player should be to continue with next level representative team until the player is either signed or released.
 
Any exemptions to the above philosophy must be at KWMLA board's approval.

Helmet Policy

All members of the KW Minor Lacrosse Association under the age of 18 must have a certified helmet and mask at all times when on the arena floor.
